*Primary Purpose:*
Provide administrative support to district and campus level staff involving matters of a confidential nature.
Handle daily work pressures requiring constant concentration to a volume of work which must be completed within a limited period of time, which contributes to the efficient management and coordination of assigned school-based tasks.
*Qualifications:*
*Education/Certification:*
High school diploma or GED
*Special Knowledge/Skills:*
Knowledge of school district organization, operations and local/administrative board policies
Knowledge of Special Education forms and related paperwork and requirements
Knowledge of computers and common office equipment, eSped/ preferred
Strong organizational skills, detail oriented, ability to follow-up and ability to work without direction
Ability to communicate effectively both in writing and orally
*Experience:*
Two (2) years secretarial experience
*Major Responsibilities and Duties:*
1.
Schedule ARD meetings for special education students to include notifying parents, teachers, department chair, LSSP, diagnosticians, speech language pathologists, administrators, counselors, related services providers and other staff as needed.
2.
Prepare, copy and/or electronically distribute all necessary paperwork to facilitate ARD meetings.
3.
Prepare, copy, electronically distribute or mail all compliance forms, IEP’s, etc.
to proper individuals.
4.
Perform general clerical tasks.
5.
Maintain accurate and complete case load files, track deadlines for ARD’s and notify staff in advance of deadlines.
6.
Follow up to ensure meetings take place as scheduled by the deadline in which they are due.
7.
Process confidential correspondence between staff members, Department of Special Programs personnel, parents of special education students and private providers such as psychologists, psychiatrists or physicians.
8.
Maintain confidentiality of all student, staff, and special education information.
9.
Receive phone calls/emails from parents, teachers, counselors, special education staff and administrators, take reliable messages, assist with needs and answer questions as appropriate.
10.
Maintain special education student folders.
11.
Transfer student files annually, those transitioning to/from other buildings or graduating.
12.
Participate in staff meetings and special events as assigned.
13.
Maintain consistent punctuality and regular attendance.
14.
Maintain positive community relations by establishing positive rapport with students and parents.
